We are so glad you are joining us for the 52nd annual Virginia Fall Foliage Festival Art Show, October 14 and 15, 2023. Please take the time to read over this information; some things may have changed from past years.
Your booth has been assigned, and you can find that in your zapplication application.
If you have a double booth, please note that you have only ONE number on your booth assignment. This is to help us administratively. If you are concerned, please reach out and we can confirm your double booth purchase.
Friday Registration:
Registration will be at the Pavilion in Constitution Park on Friday, October 11, beginning at 1:00pm and continuing until 8:00pm. You may register as early as 1:00pm, but there will be no set-up or drop off until the streets close at 3:00pm!!
For GPS coordinates you will want to enter the address 301 W. Main Street
After receiving your registration packet you will be directed as to where to put your vehicle to be in line for drop off. Beginning at about 3:45 event staff will be allowing vehicles in to drop off their things. You will be allowed to drive in based on your time of arrival (earliest first) and the availability of space in your section. After you drop your belongings off, please move your car off site and return on foot to set up.
Saturday Registration:
On Saturday morning, beginning at 7:00am, registration will be at the Yancey Building, at the corner of Main and Wayne. After check-in you will be allowed to drive your vehicle to your spot and set up (following directions of on-site event staff or Waynesboro Police Officers). All vehicles must be off the street by 9:30am.
During the show:
The streets will be closed to all vehicular traffic (except emergency vehicles) for the duration of the event. On Saturday evening at 5:00pm vehicles will be allowed on the street for those who wish to pack up their art for the night. There will be Waynesboro Police Officers on site for the entire overnight, so this is not necessary. The street will briefly open up for these same vehicles on Sunday morning from 9:00-10:30am.
Take down:
Beginning at 5:00pm on Sunday evening, there will be volunteers directing vehicles for the take down process. All streets are one way during tear-down time. It is essential that you pay attention to the traffic direction: this ensures both order and safety! We ask that you tear down your booth before bringing your vehicle back onto the streets- this makes the entire process flow more smoothly.
Notes about set up:
You are REQUIRED to use adequate weights on your tents and other display items. This is for your safety as well as that of the visitors and your neighbors. If you have questions about what is enough, please do a simple internet search. And always err on the side of too much weight.
Our downtown streets can often get windy.
This show is RAIN OR SHINE. You are required to be on-site, set up, in your assigned space for the entire weekend. If you leave early or arrive late you will not be accepted in future years (if you have extreme circumstances, please call Piper for guidance).
Your space is 10 feet (deep) by 12 feet (wide). The extra width is to help make sure everyone can fit. You are required to have all displays and belongings within this space (or, within your double booth). Double and triple booths will be 24 and 36 feet, respectively. Please do not have anything in the street past your allotted space. This is a fire hazard as well as a respect-for-your-neighbors issue. If you are next to a space left open to allow patrons to access a downtown business, please be mindful of that.
You may use the space behind your booth within reason. You MUST leave a wide walkway on the sidewalk behind you. This is a fire department regulation, and we must follow it. Art show staff, SVAC volunteers, and Waynesboro Police Department are all enforcing this rule.
This is an exhibition produced and run by a non-profit community art center. It is staffed primarily by volunteers. Please be kind to them! If you have an immediate issue, you can reach the show Director (Piper) or SVAC President (Jen Jones) with numbers that can be found in your check in packet upon arrival.
Notes about the show- the most frequently asked questions:
You will be provided with a VA ST-51 tax form in the event you need to file a tax form after the show. Please know that the Commissioner of Revenue has been given a list of all vendors.
You do not need a vendors’ license to participate in this exhibit. We get a blanket license for the entire show.
The awards ceremony is Saturday evening at 5:45 in the beer and food area. You will get two beer tickets with your name tag.
We will have booth sitters available, and roving volunteers with snacks. Feel free to flag one down if you need assistance.
Snacks, water, and coffee will be available all weekend at the show headquarters, located inside the Yancey Building (right in the heart of the show).
Restrooms are also at headquarters, at the Art Center, and around the show.
Parking for artists:
You may park anywhere around the perimeter of the show. All parking is free for artists and patrons. Please keep in mind, that the close-in spaces taken up by artists means fewer available spaces for patrons. They are here to see you. Please make it easy for them to get to you.
There is large vehicle parking available in the City lot near the Kroger downtown.
